CLOUD ATTENDANCE

A Cloud-Based Attendance System With Nothing to Install

No attendance server in a cupboard, no readers to maintain, no per-site database to reconcile. Work sessions are recorded in a browser, approved by a manager, and available across every location the moment they are saved.

What the on-premise version actually costs you

The traditional setup is a punch machine or reader at each site, wired to a Windows machine running the vendor's attendance server, with a database file someone is nominally responsible for backing up. The licence is the smallest line in that budget. The real cost is the machine that must stay switched on, the person who restarts the service when it stops, the reader that fails at a branch office and takes a field visit to fix, and the version upgrade nobody schedules because the last one broke the export.

The failure mode is predictable and quiet. A site's data diverges, month-end reconciliation becomes a manual merge of exports, and by the time anyone notices, the authoritative record for that period is whichever spreadsheet was emailed last. None of that is a licensing problem, which is why it never shows up in the comparison at purchase time.

One record, every location, no sync step

In a cloud attendance system there is one dataset and every site writes into it. A session started at a branch office is visible at head office immediately, not after an overnight export. There is no per-site database, so there is nothing to merge and no window in which two locations disagree about the same week.

This matters most for the arrangements that have become normal: staff splitting the week between office and home, field teams who visit a site without logging into a building, contractors working from their own premises, a new branch opening mid-quarter. In an on-premise model each of those is an exception with its own manual process. Here they are the same session record as everyone else's, which is why the attendance report has one shape instead of four.

  • Branch, head office, remote and field staff in a single live view.
  • No overnight export, no per-site database, no month-end merge.
  • A new site or a new hire is an account, not an installation.
  • Approvals stay with the local manager while visibility stays central.

No hardware, which is the larger saving

Removing the readers removes a cost line most comparisons leave out: the devices themselves, the annual maintenance contract, replacement units when a scanner ages out, and the field visit when one fails at a site with no technical staff. For a business with several locations, those recurring costs routinely exceed the software licence that was compared at purchase.

It also removes the single point of failure. When the reader at a branch is down, an on-premise setup loses that site's attendance for the day and someone reconstructs it later from memory. With a browser-based record, a working phone or laptop is the whole requirement, so an outage at one site is not an attendance gap.

Sessions, not punches

Most cloud attendance products are a punch machine moved to a web page: clock in, clock out, a daily total. That answers whether someone was present and nothing else, which is why utilisation and billing still get rebuilt in a spreadsheet afterwards.

A session carries the project it belongs to from the moment it starts, and a manager approves it before it counts. The same approved data therefore produces the attendance register, the payroll input and the billable-hours total without anyone reconciling three versions of the same week. Choosing the project at the start, when the answer is obvious, is what makes the rest of it fall out automatically.

Where the data lives, and getting it back

Two questions decide whether a cloud system is safe to depend on, and both deserve a direct answer. Where is the data held, and can you take it with you? Workclave's regional hosting and sub-processor list are published on the compliance pages rather than described in sales copy, and you should read them against your own requirement before you commit — particularly if a client contract or a state rule constrains where employee records may sit.

On the second question: attendance records export to standard spreadsheet formats, including the muster-roll shape Indian Shops and Establishments inspections expect. That matters beyond convenience. A system you cannot export from is a system you cannot leave, and the honest reason to publish the export path prominently is that it is the thing a vendor benefits from making difficult.

What a cloud system must not turn into

Moving attendance to the cloud is often bundled with monitoring that has nothing to do with attendance: periodic screenshots, keystroke logs, idle-time scores, continuous location trails. Those are separate products sold under one name, and buying them together is how a company ends up holding far more personal data than attendance ever required.

Workclave captures none of it — no screenshots, no keystrokes, no idle scoring, no covert agent, no biometric templates, no Aadhaar numbers. Under the DPDP Act, 2023 the operative principles are purpose limitation and minimisation, and the shortest compliance story is data you never collected. It also means you can tell staff exactly what is recorded, which is a sentence you can only say if it is short.

What it costs and how long it takes to start

There is no implementation project, no server provisioning and no hardware order. A workspace, the people in it, and the first session can happen the same morning. Free for up to 3 users, then ₹199 per user per month with no base platform fee and no seat minimum.

Running one team on it for a fortnight before rolling it wider is the sensible approach, and the free tier exists so that evaluation does not need a purchase order. Compare that to the implementation fee and device order an on-premise quote usually opens with.

Frequently asked questions

Do we need any hardware or an on-premise server?

No. There is no attendance server to run and no reader to install. A browser on a phone or laptop is the whole requirement, which also removes the maintenance contract, the replacement units and the field visit when a device fails at a branch.

How does it work across multiple branches?

Every site writes into one dataset, so a session started at a branch is visible at head office immediately. There is no per-site database and no export-and-merge at month end. Approvals stay with the local manager who knows the staff; visibility stays central.

What happens if someone has no internet at that moment?

A session can be recorded and corrected afterwards, with the edit kept as an audit trail rather than silently overwriting the original. That is the same mechanism that covers a forgotten start or a device left at home, so a connectivity gap is not a missing day.

Can we export our data if we leave?

Yes. Attendance exports to standard spreadsheet formats, including the muster-roll shape Indian Shops and Establishments inspections expect. A system you cannot export from is a system you cannot leave, so the export path is deliberately not buried.

Where is our data hosted?

Regional hosting and the current sub-processor list are published on the compliance pages rather than summarised here, because that is where they are kept up to date. Read them against your own requirement — especially if a client contract or a state rule constrains where employee records may sit.

Does cloud attendance mean employee monitoring?

Not here. Workclave takes no screenshots, logs no keystrokes, scores no idle time, runs no covert agent and stores no biometric templates or Aadhaar numbers. Attendance and surveillance are frequently sold as one product; this is only the first one.

How long does it take to get started?

Same day. There is no implementation project, server provisioning or hardware order — a workspace, the people in it, and the first session can all happen in a morning. The free tier is there so a pilot with one team does not need a purchase order.
