The formula
- Net daily hours = (clock out − clock in) − breaks
- Weekly hours = net daily hours × working days
- Overnight shifts: 24 hours are added when clock-out is before clock-in
Where the legal limits sit
In India, the Factories Act caps working time at 9 hours a day and 48 a week, with state Shops and Establishments Acts setting comparable (state-varying) limits for offices, and spread-over rules capping the total window including breaks. The EU Working Time Directive caps average weekly time at 48 hours; the US FLSA sets no daily cap but requires overtime pay past 40 hours a week. A 9:30-to-18:30 day with 45 minutes of breaks is 8h 15m — comfortably inside all of them, but only if the record proves it.
Decimal hours versus hours and minutes
Payroll and billing systems multiply in decimal hours; humans read h:mm. 8 hours 15 minutes is 8.25 hours — the conversion is minutes ÷ 60, not the digits after the colon. This calculator shows both so the number that lands in a rate multiplication is the right one. (7h 30m at ₹1,500 is ₹11,250; typing 7.30 instead of 7.50 silently underbills ₹300.)

Should short tea breaks be deducted like lunch?
Statutorily mandated rest intervals (commonly 30–60 minutes after about 5 hours of continuous work in India) are typically unpaid and deducted. Short incidental breaks are usually treated as paid working time. Your policy should say which is which; this calculator deducts whatever you enter.
How does the overnight calculation work?
If clock-out is earlier than clock-in, the calculator assumes the shift crossed midnight and adds 24 hours — a 22:00 to 06:00 shift is 8 hours before breaks. Night-shift work has additional state-specific rules for consent and transport, especially for women employees.
Is 48 hours a week legal in India?
Yes — 48 hours is the general statutory ceiling for a six-day week, with hours beyond it attracting double-rate overtime. Many IT establishments run 40–45 contractual hours; the statutory cap is the outer boundary, not the norm.
