USE CASE

Leave and holiday management

Leave balances and holiday calendars usually live outside the attendance system, which is why they disagree with it every month.

Two systems, one month

When leave lives in one place and attendance in another, month-end becomes a reconciliation exercise. Was that day approved leave or an unaccounted absence? Does the holiday calendar this team follows match the one payroll used? The answers exist, but assembling them costs a week and the result is still contested.

The disputes are predictable and avoidable: half-day conventions nobody wrote down, sandwich rules applied inconsistently, comp-off credits that lapsed because no one tracked them, balances at exit that neither side trusts.

How leave and attendance stay aligned

  1. 01

Leave sits beside sessions, not elsewhere

A leave day and a worked day are entries in the same record, so the month adds up without cross-referencing two systems.

  2. 02

Types, balances and holidays are configured per workspace

Leave types, accrual, carry-forward rules and the holiday calendar are set once for the team they apply to — including academic or regional calendars where those differ.

  3. 03

    A manager approves it

The closed session lands in a review queue with its full context — who, which project, how long, which day. Approving takes a click, and the decision is recorded against the session permanently.

  4. 04

    Balances stay current all year

Because accrual and usage derive from the same record payroll uses, the balance being encashed or settled at exit is one both sides have watched accumulate.

What changes

  • No month-end reconciliation between a leave tracker and an attendance system.
  • Half-day, sandwich and comp-off rules applied consistently from configured policy rather than case by case.
  • Comp-off credits tracked with their own balance instead of disappearing into a spreadsheet.
  • Exit settlements computed from a balance nobody disputes.

What this does not do

Workclave applies the leave policy you configure; it does not decide what your policy should be, and it will not tell you whether your accrual rate meets your state's statutory minimum. Encashment and sandwich-rule conventions are contractual choices — we make them consistent and visible, not correct.

QUESTIONS

Leave & holiday management — common questions

Does approved paid leave count as present for attendance percentage?

Under most Indian policies, yes — leave is an entitlement rather than an absence. The convention is configurable, and the important thing is that it is stated once and applied every month rather than re-decided.

Can different teams follow different holiday calendars?

Yes. Holidays are configured per workspace, which is what multi-state and multi-country teams need — regional holidays genuinely do differ.

How is comp-off handled?

Work logged on a designated weekly off or holiday is flagged at the point it happens, and the resulting credit is tracked with its own balance and expiry rather than relying on someone remembering.
