How do I prove hours to a client in a billing dispute?
With contemporaneous records: time logged as the work happened, attributed to a named person and deliverable, and approved internally close to the event. Reconstructed timesheets and round-number entries are what lose disputes — not because they are dishonest, but because they cannot be corroborated.
A billing dispute is an evidence contest, and the evidence is judged on when it was created. Records made while the work was happening carry weight; records assembled after the client objected carry very little, however accurate they are. That asymmetry is the whole game.
Four properties make time records persuasive. They are contemporaneous — logged the same day, not reconstructed at month-end. They are specific — attributed to a named deliverable or ticket rather than a category. They are attributed — a named person, not a team block. And they are approved — signed off by a lead within days, before anyone knew a dispute was coming.
Supporting artefacts help but do not substitute: commit history, ticket transitions, meeting invitations and delivered documents corroborate a timeline the time record establishes. Where the contract requires client-side approval of timesheets, obtaining it routinely converts most disputes into non-events, because the client already signed the hours.
The commercial reality is that most disputes settle rather than escalate, and the settlement position is set by the quality of the record. A vendor who can produce a per-session, per-deliverable, pre-approved history usually negotiates from strength; a vendor producing a spreadsheet built last week usually concedes.
