| Client (a team) | A client account | GreenLeaf Foods Pvt Ltd |
| Engagement (a project) | A piece of work for that client | Website Revamp |
| Department | Your internal function | Design, Development, Content |
| Session | Time on one engagement | 2h 30m on Website Revamp |
Set up
- In setup step 1, choose Agency with multiple clients. After setup, Workclave opens the clients settings page.
- In Settings → Workspace, choose Agency / consultancy and click Save Changes.
- In Settings → Clients & Permissions, create one client for each account.
- Go to Engagements and click Add Engagement for each piece of work. Choose the client.
- Create departments such as Design and Development, and choose HODs.
- Invite your people and assign them to engagements with Assign Members.
Track time
People choose the engagement next to Start session, work, and click Stop session. To switch engagements, they stop and start again. Each session is tied to one engagement.
Review time
Sessions go to a reviewer for approval. In most workspaces this is a workspace admin. See Approve sessions.
Report client hours
- On Reports, Timesheet by engagement shows hours per person per engagement.
- Choose a client to see only that client's engagements, then click Download CSV.
- For retainers, compare the client's approved hours with the hours in the contract.
- Use Hours by project on the dashboard to see where time goes this week.
Tips
- Mark finished engagements as Completed with Change Status.
- Download client timesheets before the month ends.
- Workclave reports hours. Apply your rates outside Workclave.
