Getting started

Roles and permissions

Workclave has three roles: Workspace admin, Team manager and Member. See what each role can do and how roles change.

The three roles

RoleWho usually has itMain abilities
Workspace adminThe person who created the workspace (owner or admin)Everything: workspace settings, holidays, shifts, leave types, payroll, departments, join requests, and approval of any pending session.
Team managerHODs and managersApprovals routed to them, the Team page, Reports, creating projects and teams, inviting people.
MemberEmployees and staffOwn sessions, projects, leave, payslips, salary advance requests and notifications.

Approval rules

  • Nobody can approve their own session, leave request, salary advance or payroll adjustment.
  • Workspace admins can approve any pending session in the workspace.
  • Team managers can approve only the sessions that Workclave routes to them.
  • Leave requests go to one reviewer. Workspace admins can also decide any leave request.
  • Only workspace admins can see and run payroll.

Read Approve sessions to learn how Workclave picks a reviewer.

How roles change

  • A Member becomes a Team manager when an admin clicks Promote to HOD on the Team page, or picks them as a department manager. See Departments and HODs.
  • Everyone who joins by invite or join request starts as a Member.

The web app does not yet have a control to make another person a Workspace admin. The person who creates the workspace is its admin.

If you are the only workspace admin, you cannot change your own role. Workclave shows “You are the only workspace admin. Add another admin before changing your role.”

Explorer accounts

Accounts made with a personal email work alone. The Team, Approvals and Reports menu items are hidden. See Explorer mode.
